How to choose a real estate CRM: a checklist.

Most CRM demos show the same pipelines and dashboards. The differences that cost you money show up later: slow follow-up, surprise usage bills, compliance gaps, and data you can't take with you. Use these questions with any vendor, including us.

1. Start with where your leads come from

List every source before you look at software: your website, portals, ads, mailers, sign calls, open houses, referrals and past clients. A CRM is only as good as its ability to get every one of those into one inbox without retyping. Ask each vendor to show a lead arriving from your top three sources, live.

2. The must-haves

  • Fast first reply. Can it answer a new inquiry within a minute, day or night, by text or email?
  • Follow-up that stops itself. Do sequences stop automatically when the lead replies, books time or opts out?
  • Consent records. Does it store when and how each contact agreed to texts or calls, including the exact wording?
  • One opt-out list. Does a "STOP" from one campaign block every user and campaign on your account?
  • Your data, exportable. Can you export contacts, notes and history to CSV at any time without asking support?
  • Permissions. Can agents see only their own leads while owners see everything?
  • A clear record. Can you see every message sent, by whom or by which automation, and when?

4. Count the real cost

Add up the subscription, per-user fees, texting and calling usage, carrier registration fees, phone numbers, add-ons and setup. Then add the time it takes your team to use it every day. A cheaper tool that nobody updates costs more than a pricier one that runs follow-up on its own.

5. Run a two-week test with real leads

  1. Connect your top lead sources.
  2. Import a real list from a CSV export of your current system.
  3. Measure time to first reply and how many leads got a second and third touch.
  4. Test an opt-out: reply "STOP" from your own phone and confirm nothing else is sent.
  5. Export everything at the end and check that it's complete.
