How to use NuVentrec.

Getting started

  1. Create your account. You need your name, your business name, an email and a password of at least 10 characters. Tick the "Verify you are human" box before you press the button. It's free and no card is needed.
  2. You land on a short setup list with five steps: your business details, your pipeline stages, your contacts, a website lead form and your team. Do them in any order, or skip the ones you don't need yet. You can come back to the list from Settings.
  3. Pick the pipeline stages that fit your business. We suggest a starting set for realtors, wholesalers, investors and property managers. You can rename, reorder or add stages at any time in Settings.
  4. Add your first lead with the + Lead button at the top of any page.

The menu has eight places:

  • Today: new leads, leads still waiting for a first reply, and tasks that are due or overdue.
  • Contacts: everyone you work with. Open a contact to see its history and to log a call, text, email, meeting, showing, offer or note.
  • Pipeline: your deals by stage. Drag a deal to move it.
  • Properties: homes, lots and rentals, linked to the deals they belong to.
  • Tasks: follow-ups with due dates.
  • Lead forms, Import and Settings: covered below.

Logging a call, text, email, meeting or showing on a new lead counts as your first reply. That is how the speed-to-lead number on Today is worked out.

Importing your contacts

  1. Save your list as a CSV file. Excel, Google Sheets and most CRMs can do this ("Export" or "Download as CSV"). The first row should be the column names.
  2. Open Import and choose the file. Files can be up to 5 MB and 10,000 rows.
  3. Check the column matching. We guess what each column means (name, email, phone, address and so on). Change any that are wrong, or set a column to "Skip".
  4. Optional: choose a type for rows that don't have one, and add a tag to every row, such as import-oct-2026, so you can find this batch later.
  5. Press Import. You get a report when it finishes.

The report tells you what happened to every row:

  • Added: the contact is now in your CRM.
  • Skipped as a duplicate: the same email or phone is already in your CRM, or appeared earlier in the same file. The first one is kept.
  • Skipped as empty: the row had no name, email or phone.
  • Skipped, nothing usable: there was no name, and the phone or email couldn't be read.
  • Added, but worth a look: the contact came in, but the phone number couldn't be read, the email doesn't look right, or there was no name. We keep what was typed so you can fix it.

Under the totals there is a row-by-row list you can download. Row 1 is the first row under your column names.

Good to know:

  • Phone numbers match however they were typed: (713) 555-0101, 713.555.0101 and +1 713 555 0101 are the same number.
  • A row with only a name can't be matched to anything, so importing the same file twice will add those rows twice.
  • Consent isn't imported. If you hold texting or email consent for someone, record it on their contact and keep your original records.
  • Imported contacts don't count toward speed-to-lead.

Lead forms

A lead form is a contact form for your business. When someone fills it in, they become a contact in your CRM, with the source and the consent they gave recorded.

  1. Open Lead forms and create a form. Give it a name only you see, a heading, and choose which fields to show. Every lead has to leave a phone or an email.
  2. Choose who new leads are assigned to, and whether owners and admins get an email when a lead comes in. The email doesn't include the lead's details: it links to the contact in your CRM.
  3. Decide whether to show the text-message and email consent checkboxes. They start unchecked, and nobody has to tick them to send the form. Have your attorney review the wording.
  4. Share the form. Copy its link for your website, Google Business profile or social bios, or use the embed code to put the form inside a page on your own site.
  5. Open the form yourself and send a test, then look for it in Contacts.

Good to know:

  • If the person is already a contact (same email or phone), the form adds to their history instead of making a second contact. It never overwrites details you already have.
  • If the person is on your opt-out list, the lead is still saved and clearly marked: do not contact them.
  • The form page has a "Verify you are human" check to keep bots out.
  • You can turn a form off at any time. Its link then stops accepting submissions.

Inviting your team

  1. Open Settings and press + Invite a team member.
  2. Enter their name and email, and pick a role.
  3. Press Create invite link, copy the link and send it to them yourself. We don't email it for you. The link works once and lasts 7 days.
  4. They open the link, choose a password, and they're in your account.

The three roles:

  • Owner: the person who created the account. Sees everything, and is the only one who can change roles or remove someone.
  • Admin: sees everything, and can invite agents, change pipeline stages and lead forms, and export contacts.
  • Agent: sees only the contacts, deals and tasks assigned to them or that they created. Agents can't export contacts or see the audit log.

To remove someone, the owner opens Settings and removes their access. They are signed out straight away, and their contacts stay in your account. An account can have up to 25 people during early access.

Passwords and your data

  • Forgot your password? On the log in page choose "Forgot your password?". We email a link that works for 1 hour. If it doesn't arrive, check spam.
  • Change your password in Settings. Other devices are signed out when you do.
  • Export: owners and admins can download every contact as a CSV from Settings at any time.
  • Opt-out list: add a phone or email that asked not to be contacted. Entries are permanent and apply to everyone on your account.
  • Nothing is deleted by accident: contacts, deals and properties are archived, not erased, and can be restored.
  • Your data is yours. Each business's data is kept separate. See the privacy policy.
